EFFECTIVE IMMEDIATELY: ALL reservation requests must be received one business week before your event. Please email the form to: aces_reservations@hotmail.com
A 15 minute grace period applies to all reservations.
Your event will be considered cancelled after this time and the room re-assigned.
Food/Catering is only allowed for departmental/organization events in certain areas with prior notice. Please take into account catering setup time when making requests.
Someone from your staff must be available for Catering and/or Deliveries.
ACES Personnel are NOT authorized to accept/sign for Catering/Deliveries.
ALL CLASSES OR RECURRING reservations require approval by the ACES Coordinator.
ALL RECURRING EVENTS/CLASSES end on the last day of classes each semester (Dead Day).
Classes held in ACES must make a separate reservation for their Final Exam.
ALL ACES FACILITIES are closed during intersession.
Wireless Internet is available in every facility.
Wireless guest accounts must be requested through UTEP's IT department prior to your event.
The reserving group must provide presentation equipment if it is not reserved with ACES.
It is the responsibility of the Sponsoring Org/Personnel to clean up after their event(s).
Trash, supplies, food, etc. must be properly disposed of.
Furniture that was moved must be replaced.
Failure to comply with ACES Policies may jeopardize future reservations.
