UGLC Events Scheduling


In order to provide better technical classroom support, the Undergraduate Learning Center’s use is restricted primarily to university classes (with assigned CRN).  Requests for use of UGLC facilities for general university and public events can only be initiated by campus departments and organizations and can only be considered when the Union, the El Paso Natural Gas Conference Center, or other venues on campus are not available for the desired dates.  Fees are assessed for all events that are not regularly scheduled classes (with assigned CRN).  Prior to requesting use of UGLC facilities, please check with the Union Scheduling Office (747-5177) and the Registrar’s Scheduling Office (747-5100) for room availability outside the UGLC.  

Submitting a Request:
-    Requests must be submitted at least 14 days prior to the event to allow for scheduling of technical support personnel.
-    Check with the Union Scheduling Office (ext 5177) and the Registrar Scheduling Office (5100) for availability of venues outside the UGLC.  
-    Have both offices provide e-mails regarding room non-availability to herminia@utep.edu
-    Request a UGLC Building Use Request Form (ext 8772)
-    Complete the UGLC Building Use Request form and return by:

-    Within 48 hours of receipt of your completed request form, you will be notified whether the event has been approved.  
-    No events will be scheduled during holidays or during scheduled building maintenance.

Fees and Payment:
-    Complete the UGLC Building Use Request form to determine the charges for your event.
-    A department account number must be provided at the time the request is submitted.
-    Payment transacted electronically with a VT5 four (4) working days prior to the event.
-    Cancellation or rescheduling must be made 72-hours prior to the event in order to have fees refunded.

Food and Beverage Policy:
-    No food or drinks are allowed in auditoriums, classroom, or computer labs.
-    Bottled water must be kept inside backpack/book bag.
-    Food and drinks are allowed in the building’s open areas (lobby, corridor, rotunda)
-    During special events, host department will be responsible for the supervision of any food or drink offered during the event.

Other Useful Contacts/Information:
-    Existing furniture in auditoriums, classrooms, and lobby may not be moved to accommodate events.
-    For Catering service, contact Sodexho Marriott (ext 7460).
-    UGLC does not provide tables or chairs for events.
-    Make arrangements in advance with UTEP Facilities Services (ext. 7187) to have tables/chairs delivered and picked up.
-    Make arrangements in advance with UTEP Facilities Services (ext. 7187) to have custodial services support the event during and after the event.
-    All computers have internet access, Microsoft Office 2007 (PC) and Office 2008 (Mac).  Complete list of software available upon request.
